The New Zealand working week

Leave needs a history, not just a balance.

A New Zealand employee's working pattern can change over time, and that history matters when reviewing annual holidays and pay. Employment New Zealand asks employers to reconsider holiday entitlement when the pattern changes. Keeping employment, time and leave information together gives that review a useful starting point and a clear owner.

A changed week changes the questions

A move from one work pattern to another needs more than a new schedule. The employee and employer need a shared understanding of the arrangement and its leave implications. Keep the agreed terms and actual working-time history available for the person reviewing the change.

A holiday request draws on earlier work

When hours vary, a leave conversation can require more context than the next roster. Managers need coverage information; HR and payroll need the employee's leave and earnings history. Bring those records together so the team can examine the applicable treatment before confirming the pay result.

Payday information must match the period

Inland Revenue's payday filing uses the payday and the period worked, while KiwiSaver relies on maintained employee information and elections. Payroll preparation, file submission and payment have different owners. Connect the records so each person can review their part without guessing what the previous step completed.

Changes a New Zealand team knows

Make the history useful at the moment it matters.

Explore a different working pattern, a new colleague and the final pay review.

Example workflow

A long-serving colleague changes their hours

A New Zealand employee agrees a different weekly working pattern to balance work and other commitments. The manager plans coverage, while HR needs the agreement and leave history ready for a considered payroll review.

  1. HR

Keep the agreement with the person

Record the revised arrangement and effective date alongside employment documents. Retain the discussion and assign any leave-treatment question to the responsible reviewer.

  2. Time

    Review the transition in context

Compare the new schedule with recorded time and leave balances. Keep the earlier working pattern available when the team checks the implications of the change.

  3. Pay

    Check the affected pay period

Prepare payroll from reviewed earnings and time information. Inspect any adjustment and confirm the applicable leave treatment before approving the period's result.

What changesThe new schedule carries its employment history forward, helping the team explain both the employee's immediate pay and the questions needing further review.

Example workflow

A new colleague arrives before the busy season

A New Zealand business hires a colleague ahead of a busy period. The manager needs a prepared first week, while HR and payroll need the employee's IRD information, KiwiSaver choices and initial work records in order.

  1. HR

    Collect the local starting information

Follow the accepted offer into onboarding tasks. Review the employee's IRD number, employment details and KiwiSaver elections with the person responsible for payroll setup.

  2. Time

    Confirm the first working days

Set the schedule and review clock events, timesheets and any leave request. Resolve missing information with the manager before using the first period's inputs.

  3. Pay

    Explain the first payroll result

Prepare the relevant PAYE, KiwiSaver and other supported components. Review the itemised payslip and confirm the separate payday-filing and payment handoffs for the cycle.

What changesThe new colleague gets a prepared start, and the first pay explanation can be traced to the same information collected during onboarding.

Example workflow

Finish well after a variable working history

An employee leaves after a period of changing hours and approved time away. The team needs a careful final-pay review, with the employment end date, earnings history and leave information available to the responsible people.

  1. HR

    Prepare a clear leaving record

Confirm the end date, relevant documents and outstanding employee requests. Assign final checks so the employee's remaining questions have a place in the handover.

  2. Time

    Resolve time and leave questions

Review the closing timesheet, recorded absences and leave position with the manager. Preserve the working-pattern history needed to assess the employee's final circumstances.

  3. Pay

    Review the settlement before release

Prepare supported final-pay and separation components using the maintained history. Check the applicable earnings and leave treatment, then agree the external filing and payment steps.

What changesThe final review uses the employee's working history, while HR, payroll and finance can see which decisions and external tasks remain outstanding.

A working life, beyond the roster

Keep good conversations connected to the record.

An employee's changing week is also part of their working life. Give managers the goals, feedback and service history to support that person, while making it easier for HR to prepare new colleagues and follow everyday requests.

A first week that feels planned

Track recruitment, interviews and offers into onboarding. Coordinate documents, equipment and early check-ins so the new employee and their manager can see what is ready and what needs attention.

Development through changing circumstances

Retain goals, feedback and one-to-one notes alongside development plans. When duties or hours change, managers can revisit agreed priorities and discuss the next step with useful context.

Help that does not start again

Employees can find payroll information, use benefits services and raise HR requests. Assign an owner and retain the conversation so a question about leave or a pay difference keeps its history.

Questions from New Zealand employers

Does storing a leave balance settle every Holidays Act question?

No. Working patterns, earnings history and the employee's circumstances matter to the applicable treatment. Payrovia provides leave records, approvals, timekeeping and payroll preparation; your rollout must validate the specific calculation cases you need. Include a change of hours and a final-pay example when assessing scope with your responsible advisers.

What is included in the New Zealand beta scope?

Monthly payroll, employee setup, PAYE, KiwiSaver, ESCT, ACC, payslips, timekeeping, leave and supported special-pay preparation are implemented. Required pay frequencies, employee groups and calculation exceptions still need confirmation. Beta also means the reporting and payment handoffs must be agreed; a country record does not imply every operating route is complete.

Does payday filing send directly to Inland Revenue?

Payday-filing Employment Information packages are prepared for a reviewed myIR file-upload process, with submission confirmation recorded by the operator. No live Inland Revenue Gateway Services connection is implemented. Agree who checks the payday and period details, uploads the file and follows the response; preparing the package does not establish acceptance.

How would our team complete salary payments?

NZ bulk-credit bank files can be prepared for manual upload, with return-file reconciliation available for the supported route. Confirm the bank's format and acceptance, funding and authorisation responsibilities before live use. The separate ISO 20022 option does not currently include return-file reconciliation, so its follow-up process needs specific agreement.
