The work behind every novedad

A better monthly close starts when the change happens.

Employee information supports several Colombian processes: contribution review, benefits preparation and the separate electronic-payroll reporting obligation. An arrival, absence or compensation change can matter to more than one team. Keep the person's record useful from the first conversation, with a clear handoff to whoever reviews payroll and submissions.

Affiliation information arrives after the hire

The manager is ready for a new colleague, but payroll still needs cédula, salary and EPS, AFP or ARL information. Track the missing details with the employee's start so a document question has an owner before the first calculation.

The prima needs more than a current salary

A semester can include new starters and employment changes. Keep relevant dates, pay information and approved decisions available when reviewing prima de servicios, rather than rebuilding the employee's history in a separate list when preparation begins.

One completed task looks like a finished process

Calculating pay, preparing contribution information and obtaining DIAN validation are different steps. Give the team a clear view of what has been reviewed and who handles the next submission, so an employee question does not disappear between responsibilities.

Payroll review · Colombia Illustrative workflow

Colombian working examples

Follow the person through the monthly review.

These illustrative workflows show the available beta scope and the handoffs to agree before use.

Example workflow

A Medellín business welcomes a new colleague.

A candidate accepts an offer and the manager prepares their first week. HR needs local identification and affiliation information, while payroll needs confirmed employment inputs to review the first monthly result within the agreed pilot scope.

  1. HR

    Follow readiness by person

Assign onboarding documents and early checkpoints. Keep cédula, salary, start date and the relevant EPS, AFP and ARL fields with the employee record.

  2. Time

    Check the first working record

Review daily clock-in and clock-out information and any leave request. Ask the manager to clarify missing time before agreeing the facts for payroll review.

  3. Pay

    Review the first calculation

Prepare the scoped monthly calculation and inspect earnings, contributions and withholding. Generate the itemized pay document and confirm the separate delivery and payment steps.

What changesThe new colleague has named support, while HR and payroll can trace the first calculation back to the information checked during their start.

Example workflow

A Bogotá team reviews its semester benefit.

The payroll team prepares prima de servicios for an agreed employee group. Some colleagues joined during the semester. HR must confirm the relevant employment dates and information before payroll reviews the calculation and answers individual questions.

  1. HR

    Confirm the relevant history

Review employment dates and approved pay information with the employee record available. Resolve missing documents or contradictory changes before preparing the semester calculation.

  2. Time

    Review recorded absences

Check available leave records and the relevant working-period information. Refer any unusual case to the responsible reviewer rather than assuming all absences have the same treatment.

  3. Pay

    Inspect the prima result

Use the semester prima calculation within the agreed scope. Check the employee inputs and resulting amount, then retain approval before the operator arranges payment.

What changesThe benefit review keeps the person's semester in view, with a clear calculation basis and an identified owner for any case outside the agreed scope.

Example workflow

A Cali employee prepares for leave after a development review.

A manager and employee agree a development plan, followed by a planned leave request. HR needs continuity in the person's goals while payroll needs the confirmed absence information for the upcoming monthly review.

  1. HR

    Keep the development commitment

Record goals, feedback and the next development action. Keep the leave conversation and any employee question connected to the same person's employment history.

  2. Time

    Review dates and balance

Check the leave request and available balance within the scoped rules. Confirm the working-period information with the manager and identify any balance treatment needing separate review.

  3. Pay

    Review the monthly effect

Use the agreed absence information when reviewing the monthly result. Check applicable amounts and deductions before generating the pay document and arranging the separate payment process.

What changesThe employee's development continues beyond the absence, while the team reviews leave and pay from an agreed record with clear follow-up responsibilities.

People & development

Make employment feel connected beyond payday.

A growing team needs useful feedback, prepared starts and dependable support. Shared HR tools keep those commitments with the employee, while the Colombian rollout defines the local payroll and attendance work your team will use.

Hiring with a real handover

Follow candidates and offers into assigned onboarding tasks. Make documents, equipment and early checkpoints visible to HR and the manager, with local activation steps confirmed for the beta rollout.

A plan after the review

Connect goals, feedback and development actions to the employee's history. Managers can follow progress between conversations and submit salary recommendations with the reasons available to the people reviewing them.

Answers that stay with the person

Give benefits and HR requests a responsible owner. Keep notes and outcomes with the case so employees can follow progress and the team can continue a conversation without asking the person to start again.

Questions from Colombian employers

What does Colombia beta mean for our first rollout?

Begin with a defined monthly employee group and compare a complete cycle before relying on results. Monthly calculations, employee records, selected benefits and pay documents are available. Quincenal proration and full salario-integral handling remain incomplete, so those requirements need a separate decision before choosing the initial population.

Are PILA and DIAN electronic payroll submissions automatic?

No. Available contribution and filing drafts support preparation, while PILA transmission remains an operator step. DIAN's electronic payroll support document has a separate validation process that must be confirmed for your business. An employee pay PDF or a recorded submission status does not establish accepted DIAN transmission.

Can we use this for shift planning and biometric clocks?

The current Colombian scope includes basic clock-in and clock-out records, daily attendance, leave requests and balances. Scheduling, full timesheets and biometric-device workflows remain pending. Agree how managers will provide and review the working context your payroll process needs, including any leave case beyond the simplified balance rules.

How are salaries and pay documents delivered?

ACH files support bank preparation with manual upload through your agreed banking process. Returns require operator handling; automated return processing is not included. Itemized pay documents can be generated, but email distribution remains pending. Confirm the responsible people and employee delivery method before the first live cycle.
